Dear Daytona Beach YMCA Branch Board Member:

We want you to be aware of conversations that have recently begun between our YMCA Corporate Board and the Corporate Board of the West Volusia YMCA. Both of these Boards have authorized the formation of a committee to discuss the possible merging of our Associations. Although our Associations have discussed this possibility several times in the past, it seems particularly advantageous to once again explore the issue while we are both seeking new CEO leadership.

Before we tell you about the process we intend to pursue, let us explain the rationale more thoroughly.

The motivation for this collaboration is a desire on the part of both Associations to better serve the communities of Volusia County. We recognize that there are many similarities between our YMCAs. We both seek to serve as many people as possible in a diverse community; we provide similar programs to the community; we use the same membership categories.

We also recognize that we are not exactly the same. Both Associations have thrived in the past within independent structures. The YMCA of the USA, which is providing us guidance, acknowledges that the success of any local YMCA lies in its ability to serve the local community. The fact is that we have two strong YMCAs.

At the same time, we believe it is prudent to maximize the use of community assets. Both Associations need more facilities to serve more kids and families. We must give thought to the organizational structure that will best utilize our precious resources and grow our YMCAs.

Now let us explain the process we will use to explore the possibility of merging our Associations. The Y of the USA and a consultant experienced in YMCA services will provide guidance and direction as we move through this process. The committee that has been created by the Corporate Boards of our Associations will provide information, process and explore the issues and seek resolution of obstacles.

The first step is a review that consists of mapping all of the core areas of the services of the two YMCAs. If this review is positive, then our Corporate Board will vote to approve a Letter of Intent. We will then conduct our Due Diligence to determine in much greater detail how this plan will work. Finally, if we conclude that this is the best way to provide services to the entire community, the Corporate Board will vote on whether or not to merge our Associations.

This investigative process should be thorough and deliberate, but not unduly lengthy. We expect to complete the process near the end of 2007.

Understand that there will be many points of decision along the way, and there will be many YMCA volunteers involved. The YMCA process is inclusive; we will seek input from many sources, including our Association’s Branch Board members. Ultimately, the decision will be finalized by our Corporate Board, on which you have representation. Be assured that no outside influence is telling us what to do. Understand also that the only decision that has been made at this time is to explore the possibility of merging with another Association.

We believe that good communication is crucial to the success of this process. As we proceed, we will stay in touch with you, both to seek your input and to keep you abreast of our progress. If you have questions or concerns, please contact us directly.

This is an important time for our Association and we are approaching an important decision. Be assured we are not taking it lightly. We are serious about being the best possible YMCA and being of great service to our great community. We hope you will join us in determining the organizational structure that will best serve the kids and families of Volusia County. And we invite your prayers for our discernment and guidance in this important decision.
